1 Programme

The timetable workbook (.xlsx): a start time, the presenter and the panel members attending, one row per presentation. Rooms are separated by two blank rows.

A programme with no start times — or with some left blank — can still be optimised: E-Vory works the times out from the hours of the day and the length of one presentation. Every room starts again at the opening time, because the rooms run in parallel.

Form responses (.xlsx, .csv, or a saved .json) with each panel member's name and the hours they can attend, such as 09:00-10:00, 13:00-14:00, 14:00-15:00. Back-to-back spans count as one.

3 Settings

Preferences

Panel members or presenters who asked for particular times, for example in the form comments. Hover or tap for what each setting does.

Penalty weights

The optimizer keeps the total of these costs as low as it can. A higher number makes that rule matter more.

Load a programme, optionally add the availability responses, then press Optimize.

A panel member is never in two rooms at once, nor outside the hours they gave.
Changing room needs one presentation of slack.
Idle gaps, room moves and broken preferences are kept to a minimum.

Files can also be opened from Google Drive™. E-Vory then asks Google for access to the one file you pick and nothing else, reads it in your browser, and never changes anything in your Drive. How E-Vory uses Google data.
